Privacy Policy
Last updated: October 25, 2026
CareLaunch is record-keeping software. It is not legal advice and is not affiliated with any state licensing agency or government body.
This policy explains what Rocky Mountain Apps LLC ("we") collects when you use CareLaunch at carelaunchkit.com and app.carelaunchkit.com, and what we do with it.
What we collect
- Account details: your email, a salted hash of your password, and your agency's name, state, license number and dates, address and phone.
- Staff records you enter: names, roles, hire dates, contact details, and the dates of checks, training, credentials and evaluations, plus any documents you upload to their files.
- Client records you enter: initials, an optional client number of your own, the service type, start and end dates, and the dates of assessments, agreements, plan reviews and supervisory visits. No names, diagnoses, care notes or other health information, and no client documents.
- Street addresses you choose to add: for clients, caregivers and your office, used for the map, travel times between visits and suggesting the closest caregiver. Each address is encrypted in our database (AES-256-GCM, with a key kept apart from the data) and is shown only to signed-in users of your account, plus, if you turn it on in Agency, to a caregiver for their own upcoming shifts.
- Shifts you schedule: which caregiver works with which client (by initials), the date and times, and an optional short note.
- Files you upload: stored privately in Cloudflare R2 and only served to signed-in users of your account.
- What we do not collect: Social Security numbers (the app refuses them), protected health information, bank logins or card numbers (Stripe handles payment).
- Technical data: a session cookie to keep you signed in, and IP addresses briefly for rate limiting and abuse prevention. No advertising or tracking cookies.
Not a place for health information
CareLaunch is designed to hold as little about clients as possible: initials and dates, and a street address only if you add one. Do not enter client names, diagnoses or care details in any field, including shift notes. Keep the clinical record in your care-plan system or paper chart.
If your agency is a HIPAA covered entity (for example, you bill Medicaid electronically), a client's street address together with the fact that they receive your services can be protected health information. We do not sign business associate agreements. In that case, decide with your compliance advisor whether to add client addresses; the scheduler works without them, only the map and travel times need them.
Maps and address lookup
When you save an address, we send that one address (without any name or initials) to the U.S. Census Bureau's free geocoder to find its map position. Map images come from OpenStreetMap's tile servers, which see your IP address and the map area you view, but not your records. If a caregiver taps a client address on their shift list, it opens in Google Maps under Google's own privacy policy.
How we use it
Only to run the service: show your records, send the reminder emails you have switched on, build your survey packet and exports, bill your subscription, and answer support requests. We do not sell or share your data for marketing.
Who processes it for us
Cloudflare (hosting, database, file storage and email sending), Stripe (subscription billing), the U.S. Census Bureau geocoder (map positions for addresses you save) and OpenStreetMap (map images).
Your choices
Turn reminder emails and the weekly summary off in Settings or from the link in any email. Download all your data as CSV files plus your uploaded documents at any time. Delete your account from Settings: this removes your records and files immediately (Stripe keeps its own billing records as the law requires).
Your records, your responsibility
You decide what to store about your staff and are responsible for having the right to store it. Your state requires you to keep personnel and client records for set periods; deleting them here does not change those obligations. This is not legal advice.
